1. Introduction

CareBridge Academy is committed to promoting safe, respectful and responsible use of online learning environments, digital communication platforms and internet-based services. As an organisation delivering online training, workshops and employability support, we recognise the importance of maintaining safe digital spaces for all learners, participants and individuals engaging with our services.

This Online Safety Policy outlines the measures, expectations and procedures in place to support safe online participation, responsible behaviour and digital safeguarding across all CareBridge Academy services.

This policy was formally reviewed and reassessed on 9 June 2026.


2. Commitment to Online Safety

CareBridge Academy is committed to:

  • Promoting safe and respectful online learning environments

  • Encouraging responsible digital behaviour

  • Protecting learners from online harm, abuse or exploitation

  • Responding appropriately to safeguarding or online safety concerns

  • Maintaining professional boundaries across online communication

  • Supporting inclusive and respectful participation during online activities

Although CareBridge Academy operates primarily online, safeguarding and learner wellbeing remain a priority across all services provided.


3. Scope of the Policy

This policy applies to:

  • Online training courses

  • Live tutor-led sessions

  • Workshops and employability programmes

  • Digital communication platforms

  • Website interaction

  • Learner messaging and online engagement

  • Any online systems or services provided by CareBridge Academy

This policy applies to learners, parents or guardians where applicable, visitors, workshop participants and any individual accessing CareBridge Academy online services.


4. Expected Online Behaviour

Individuals accessing CareBridge Academy services are expected to behave respectfully, professionally and appropriately during all online interactions.

Users must not:

  • Use abusive, threatening or discriminatory language

  • Harass, intimidate or bully others

  • Share offensive, inappropriate or illegal content

  • Record or distribute sessions without permission

  • Attempt to gain unauthorised access to systems or learner information

  • Share login details or course access with others

  • Disrupt live sessions intentionally

  • Misuse communication systems or platforms

CareBridge Academy reserves the right to restrict or remove access where behaviour is considered unsafe, inappropriate or in breach of organisational expectations.


5. Safeguarding and Online Protection

CareBridge Academy recognises that safeguarding concerns may arise within online environments and is committed to responding appropriately where concerns are identified.

Online safeguarding concerns may include:

  • Cyberbullying

  • Grooming or exploitation

  • Inappropriate online contact

  • Exposure to harmful content

  • Harassment or intimidation

  • Online abuse

  • Radicalisation or extremist content

  • Unsafe digital behaviour

Where safeguarding concerns arise, CareBridge Academy may take proportionate action including safeguarding referrals, contacting appropriate agencies or restricting access to services where necessary.


6. Reporting Online Safety Concerns

Individuals are encouraged to report online safety concerns, safeguarding issues or inappropriate behaviour as soon as possible.

All concerns will be reviewed appropriately, sensitively and confidentially where reasonably possible.

Where there is immediate risk of harm or danger, emergency services should be contacted immediately by calling 999.


7. Privacy, Security and Digital Systems

CareBridge Academy takes reasonable steps to maintain secure online systems and protect personal information in accordance with UK GDPR and applicable data protection legislation.

Reasonable security measures may include:

  • Password-protected systems

  • Restricted access to learner information

  • Secure communication methods

  • Monitoring of inappropriate use where reasonably necessary

  • Use of secure third-party learning platforms where appropriate

Whilst reasonable measures are taken to support online security, individuals are also encouraged to protect their own devices, passwords and personal information when accessing online services.


8. Third-Party Platforms and Services

CareBridge Academy may utilise third-party platforms, online learning systems or communication tools as part of service delivery. Whilst reasonable efforts are made to select appropriate systems, certain platform features and security functions may remain outside the direct control of CareBridge Academy.

Users are encouraged to review the privacy and safety settings of external platforms where appropriate.


9. Confidentiality and Recording

Learners and participants are expected to respect confidentiality and privacy during online learning activities.

Sessions, materials, discussions or participant information must not be recorded, copied, distributed or shared externally without prior written permission unless legally required or necessary for safeguarding purposes.

CareBridge Academy reserves the right to take action where confidentiality or privacy expectations are breached.


10. Policy Review

CareBridge Academy reserves the right to review, amend or update this Online Safety Policy periodically to reflect:

  • Legislative updates

  • Safeguarding guidance

  • Technological developments

  • Organisational changes

  • Online safety best practice
